Red Fox Transport Solutions

 

1. Definitions  

“Service Provider” refers to Red Fox Driver Relief Solutions.  

“Client” refers to the business or individual requesting services.  

“Services” refers to the provision of a professional driver, with or without a vehicle, as agreed in advance.

 

2. Booking and Confirmation  

All work must be agreed in advance via email, phone, or written confirmation.  

A booking is considered confirmed once the Service Provider has acknowledged acceptance of the work, agreed the rate, and scheduled the date(s).

 

3. Minimum Charge  

All bookings are subject to a minimum charge equivalent to one full day rate unless otherwise agreed in writing.

 

4. Pricing  

Pricing will be agreed prior to commencement of work and will follow the structure outlined on the website or as quoted directly.  

Mileage charges apply where the Service Provider’s vehicle is used and are calculated per mile travelled in the course of the job.  

Any additional costs such as tolls, parking, congestion charges, or special access fees will be chargeable to the Client unless agreed otherwise.

 

5. Use of Client Vehicles  

Where the Service Provider operates a Client’s vehicle, the Client confirms that:

• The vehicle is fully insured for business use.  

• The vehicle is roadworthy, taxed, and compliant with all legal requirements.  

• Appropriate insurance cover exists for an additional driver.  

 

The Service Provider reserves the right to refuse to operate any vehicle considered unsafe or non-compliant.

 

6. Working Hours and Scope  

The agreed day rate covers a standard working day as discussed at booking.  

Excessive delays, additional unscheduled stops, or significant extensions to the agreed workload may incur additional charges, which will be discussed with the Client where reasonably practicable.

 

7. Cancellations  

Cancellations made with less than 24 hours’ notice may be subject to a cancellation fee of up to the full agreed day rate.  

This is to cover loss of work due to short-notice changes.

 

8. Payment Terms  

Invoices are issued on Sunday for completion of that week unless otherwise agreed.  

Standard payment terms are 12 days from the invoice date.

Example: work completed between Monday 1st January and Sunday 7th January would be invoiced on Sunday 7th January and payment to be received on or before Friday 19th January. 

Payment must be made via bank transfer unless alternative arrangements have been agreed in advance.

 

Late payments may result in:

• Suspension of future bookings.  

• Statutory interest and recovery costs applied in line with UK late payment legislation.

 

9. Liability  

The Service Provider will exercise all reasonable care and skill while carrying out services.  

Liability is limited to the value of the services supplied unless otherwise required by law.  

The Service Provider is not responsible for delays caused by traffic conditions, weather, vehicle breakdown (where using Client vehicles), or circumstances beyond reasonable control.

 

10. Insurance  

Where the Service Provider supplies a vehicle, appropriate insurance for that vehicle and its operation is maintained.  

Where the Client supplies the vehicle, responsibility for vehicle insurance remains entirely with the Client.

 

11. Confidentiality  

Any business information, routes, customer details, or operational processes encountered during the provision of services will be treated as confidential.

 

12. Acceptance of Terms  

By confirming a booking, the Client is deemed to have accepted these Terms & Conditions.

 

These Terms & Conditions may be updated periodically, with the latest version applying to all future bookings.
